TC, bonafide and character certificates: issuing school documents without retyping
A parent needs a bonafide certificate for a bank account. Another needs a transfer certificate by Friday. Each one is a ten-minute job: find the old Word file, change the name, the class, the dates, print, sign, and write a line in the register. Multiply that by a few hundred requests a year and the office has lost weeks.
The hidden cost of "small" certificates
Retyping is slow, but the bigger problem is error. A date of birth typed one digit off on a transfer certificate becomes the family's problem at the next school. And when every certificate starts from last month's file, the previous child's details are always one missed edit away.
Start from the student record
The school already holds the child's name, parents' names, date of birth, admission number and class. A certificate should begin from that record, so the office only types what is genuinely new โ the purpose of a bonafide, the conduct remark, the leaving date and reason on a TC.
Number every certificate
A serial number per certificate type and session โ like TC/2026-27/0001 โ turns loose papers into a register. Anyone can later answer "did we issue this, to whom, and when?" without opening a cupboard.
A certificate is a statement the school makes about a child. It should be as hard to get wrong as a fee receipt.
Freeze what was issued
If a child's class or address changes next year, the certificate issued today must still read the way it did on the day it was signed. The safe approach is to keep a snapshot of the details at the time of issue, and to print from that snapshot every time.
Cancel, don't delete
When a certificate is issued by mistake, cancel it and keep it on record, clearly marked. A register with missing numbers raises questions; a register with a cancelled entry and a reason answers them.
Keep the child's papers with the child's record
The documents a family submitted at admission โ birth certificate, Aadhaar, previous report card โ are needed again and again. Kept against the student's record, they are found in seconds, whether the child came through admissions this year or has been in the school since nursery.
- Transfer, bonafide and character certificates from the student record
- Serial numbers by type and session
- Issued certificates kept exactly as signed
- Submitted documents stored on the student's record
- Open, download, share or print โ on the web or in the app
In SkoolPing, certificates, fee receipts, report cards and payslips are generated from the records the school already keeps, and open inside the app with download, share and print. It pairs naturally with an admissions process that collects those documents once.
