Fees, payroll and expenses: why a school's money should live in one place
Ask most school offices "how much did we collect this month, and how much did we spend?" and the answer takes a day. Fees are in a receipt book, salaries are in a spreadsheet on one person's laptop, and vendor bills are in a file. Each record is fine on its own. Together they don't add up to an answer.
Three registers, three versions of the truth
When fees, payroll and expenses live in different places, nobody can see the whole picture without sitting down and reconciling them by hand. Concessions get promised verbally and forgotten. A cheque that bounced is still shown as paid. The owner asks for a number and gets an estimate.
Start at the fee counter
The counter is where most of a school's money arrives, so it has to be fast and it has to be right. A proper fee counter takes cash, UPI, bank transfer and cheque, accepts a part payment without breaking the account, and keeps any extra as advance credit for next month. The receipt is issued on the spot and reaches the parent's phone at the same moment.
Put every exception through an approval
Concessions, waivers, refunds and "please give us two more weeks" are where money quietly leaks. None of them is wrong in itself โ but each one should have a name, a reason and someone who said yes. When exceptions go through approvals, the office stops carrying them in its head and the owner stops being surprised at year end.
A school rarely loses money to one big mistake. It loses it to fifty small exceptions that nobody wrote down.
Let online payments reconcile themselves
If parents pay from their phone, the payment should be marked paid only when the payment gateway confirms it โ not when a screenshot arrives on WhatsApp. That one rule removes most "I already paid" arguments and all of the manual matching against the bank statement.
Bring the outgoing side into the same place
Collections are only half the story. Salaries, advances, vendor bills and day-to-day expenses belong in the same ledger, against a budget, so that "what did we collect" and "what did we spend" are answered from one screen.
Never erase, always reverse
Mistakes happen at every counter. The safe way to fix one is to reverse the entry and post the correct one, so both stay on record with who did it and when. An erased entry is a question nobody can answer later; a reversed one is an audit trail.
What you should be able to see at a glance
- Collected today, this month and this session
- Pending dues, class by class and child by child
- Concessions and waivers given, and who approved them
- Payroll and expenses against the budget
- A dues, collections and profit report you can hand to the owner
Finance 360 in SkoolPing puts the fee counter, concessions, online payments, payroll and expenses in one place, on the Professional plan. If you are still fixing the collection side first, start with making fee collection simple and on-time.
