School management software: what principals should look for

Switching a school's daily system is not a decision to make twice in one year. A bad choice means retraining staff, re-explaining things to parents, and possibly losing a term's worth of records in the process. Before signing up for anything, run it through this checklist.

Does it work without internet?

Ask specifically: what happens when a teacher marks attendance with no signal? If the honest answer is "it doesn't save," that's disqualifying for most Indian schools, where connectivity in the classroom is not guaranteed.

Can every parent use it in their own language?

Not "is there a language setting somewhere" โ€” can a Hindi-speaking parent open the app and understand every notice, without switching anything manually. Per-user language, set once, is the right bar.

How long does daily attendance actually take?

Time it in the demo. If marking a class of 40 takes more than a minute, teachers will resist it daily, no matter how good the reporting looks to the principal.

Is there proof of delivery, not just "sent"?

For fee deadlines and safety notices specifically, ask whether you can see who has read or acknowledged a message โ€” and follow up with only those people. "Sent to all" isn't the same as "read by all."

What does support actually look like?

Ask what happens when something breaks during a live class or the week before exams. A sales demo won't show you this โ€” ask for a direct contact and a realistic response time.

What's the real cost, including staff time?

A cheaper plan that takes teachers twice as long to use every day is not actually cheaper. Weigh the subscription cost against the hours it saves your staff, not just the invoice.

Can you leave with your data if it doesn't work out?

Ask directly whether student records, attendance history and report cards can be exported. A system that locks in your data is a red flag regardless of how good the features look.

The right question isn't "what does this software do" โ€” it's "what does my school stop having to do once we're using it."

Run SkoolPing through this exact checklist in a live demo โ€” offline-first attendance, Hindi/English per user, acknowledge-required notices, and full data access, with no lock-in.
