How a school owner can stay in control without being on campus every day

By the SkoolPing team ยท 6 min read

An owner or trustee has an awkward job. They are responsible for the school's money and reputation, but they are not โ€” and should not be โ€” the person running the timetable. Stay too far away and surprises pile up. Come too close and the principal can't lead. The answer is not more phone calls. It is a clear line about who sees what and who decides what.

Two questions an owner asks every day

Almost everything an owner wants to know comes down to two things: "is the school running today?" and "is the money all right?" That means students and staff present, who is on leave, fees collected and pending, what was spent, and what is waiting for a decision. If those sit on one screen, the evening call to the office becomes unnecessary.

Seeing is not the same as running

An owner's view should be read-only for the school's daily work. Attendance, homework, notices and the timetable belong to the principal and the staff. When the owner can see the day without being able to rearrange it, the principal keeps their authority and the owner keeps their peace of mind.

Decide in advance which decisions come to you

The useful question is not "should I approve concessions?" but "above what amount?". Set the limits once โ€” for example, concessions above a certain rupee value or percentage, or expenses above a certain bill size โ€” and everything below them is the principal's call. Everything above arrives with the reason and the name of the person who asked.

Good governance is not approving everything. It is deciding once what needs you, and trusting the rest.

Let the principal recommend

The person closest to the family or the vendor usually knows the context. A good approval flow lets the principal recommend, with a note, and leaves the final yes or no with the owner. A rejection should carry a reason the principal can read โ€” otherwise the same request simply comes back next week.

Approve from wherever you are

Decisions that wait for the owner's next visit hold up real families and real payments. A notification on the phone, the reason in front of you, and one tap to approve or reject keeps the school moving on the days you are not there.

Keep the trail

Every decision should record who asked, who approved, when, and what changed. Nobody reads an audit trail on a good day. On the day a question comes up, it is the only thing that matters.

More than one school

For a group, the same view should work per school and side by side, from one login โ€” so a slow month at one branch shows up while there is still time to act on it.

The Director console and Director app in SkoolPing are built for exactly this, on every plan. The principal's side of the same idea is covered in tracking a school without micromanaging teachers.
