School staff payroll without the month-end spreadsheet
In most schools, payroll is one person, one spreadsheet and one stressful evening at the end of the month. It works until that person is on leave, a formula breaks, or a teacher asks why this month's salary is different and nobody can show the working.
Where school payroll actually goes wrong
The salary figure itself is rarely the problem. The trouble is everything that adjusts it: days of unpaid leave, an advance taken in August that is being recovered over three months, a new joiner who started mid-month. Each adjustment lives in someone's memory or in a note on a register, and each one is a chance for an honest mistake.
Let attendance decide loss-of-pay
If staff attendance and approved leave are already recorded, loss-of-pay should come from that record, not from a separate count done on the 30th. The office reviews the result instead of building it. That is faster, and it is also fairer โ the same rule is applied to everyone. (If you don't have that record yet, start with staff attendance.)
Track advances like a small loan
A salary advance is simple on the day it is given and confusing three months later. Record it once with the amount and how it will be recovered, and let each month's salary show the deduction and the balance left. The teacher can see it; the office doesn't have to remember it.
A payslip is not paperwork. It is the school showing its working โ and most salary disputes end the moment the working is visible.
Give every staff member their payslip
When staff can open their own salary slips and advances on their phone, the "can you tell me my deductions" visits to the office stop. It also builds trust: people argue far less with a number they can check themselves.
Keep individual salaries private
Payroll needs two kinds of visibility. The owner needs to see every salary. The principal usually needs the total and the trend, not each colleague's pay. A good system respects that difference instead of showing everything to everyone with a login.
A short monthly routine
- Close the month's staff attendance and leave
- Review loss-of-pay and advance recoveries the system worked out
- Send the salary run for approval
- Release payslips to the staff app
- See payroll next to fees and expenses, not in a separate file
Staff payroll is part of Finance 360 in SkoolPing, alongside the fee counter and expenses โ so salaries sit in the same ledger as the rest of the school's money.
